How Booking Works: POs, Paperwork, and Picking a Date

Booking us takes one email and less paperwork than a bus request. Here’s the whole process, including the procurement stuff your office will ask about.

Step one: reach out with a date in mind

Use the contact form or email hello@galaxyonthego.com — we usually reply within one business day. Have a rough date or week in mind and a ballpark headcount; that’s all we need to quote you. If you’re deciding between a half day ($999, up to 4 sessions) and a full day ($1,499, up to 12), tell us your enrollment and we’ll recommend one.

We can hold a specific date for a few days while you get sign-off — ask.

Step two: the paperwork (we’ve done this before)

• Purchase orders: yes, we accept them. We’re used to school payment timelines and flexible on structure — check in advance is our preference, but we work with your process.
• CPS schools: we’re an approved CPS vendor.
• W-9 and insurance: both come with the contract. We’re fully insured, and we add your school or district as additional insured at no cost — your business office won’t have to chase us for anything.

Step three: pick your lessons

Once the date’s locked, teachers choose from 20+ NGSS-aligned lessons (the full list is here) — or tell us the grade levels and we’ll match sessions to them. No prep required on your end either way.

Step four: build your rotation

You know your bell schedule; we don’t pretend to. Your team slots groups of about 50 into half-hour sessions however your day works best, the same way you’d schedule an assembly rotation. Most schools do this a week or two out. On the day, we arrive about 30 minutes early, run everything, and are packed out about 30 minutes after the last group.

When to book

School calendars fill in two waves — August through October, and January through March. Spring dates especially get claimed by winter. If the dome would land best during a specific unit (space in 3rd grade, astronomy in 8th), book that window early.

We serve schools within 300 miles of Chicago, across Illinois, Wisconsin, Indiana, and Michigan; travel is included within 50 miles of Chicago, and beyond that pricing may be adjusted.
